Terms and Conditions

Applies to Leisure Bookings, Caravan Hire, Seasonal Pitches, Rally Bookings, Guest Wi‑Fi & General Site Use

1. Introduction

These Terms & Conditions form the agreement between you and Rose & Crown (Holbeach) Ltd for all leisure bookings, caravan hire, seasonal pitches, rally bookings and use of our facilities.

By submitting a booking request, signing a seasonal pitch agreement, or entering the site, you accept these Terms & Conditions. We may update these Terms at any time. The latest version will always apply.

2. Making a Booking

  • Bookings may be made via our website, telephone, email, social media, walk ins or approved third parties
  • You must provide accurate information including guest numbers, accommodation type and any extras required.
  • Bookings are accepted for stays between 1 March and 19 February each year.
  • Lead booker must be 18 or over and responsible for all members of your party.
  • All bookings remain provisional until a deposit or full payment is received.
  • Deposits are available only when arrival is more than 40 days away. Balances are due 21 days before arrival.
  • Minimum stays:
    • Camping: 1 night (2 nights on Bank Holidays)
    • Static & Tourer Hire: 2 nights (3 nights on Bank Holidays)
  • Bookings are non‑transferable.

3. Accommodation Types

3.1 Camping Pitches

  • Suitable for tents, trailer tents, tourers, motorhomes and campervans, with or without electric hook‑up.
  • Each pitch includes one unit + one vehicle.
  • Awnings, porches, gazebos and one additional car are permitted for an additional charge.
  • Average pitch size: 9m x 12m.
  • Up to two dogs stay free; additional dogs may be accepted by prior agreement.
  • You must set up within your allocated pitch and follow staff directions.
  • Pup tents are not permitted.
  • Check‑in: From 10am. Check‑out: At your leisure.
  • Pitches must be left clean and tidy.

3.2 Hardstanding Pitches

  • Suitable for tourers, motorhomes and campervans, with electric hook‑up.
  • Each pitch includes one unit + one vehicle.
  • Each pitch consists of a concrete or stone chipping hardstand and a grass.
  • Pitches are identified as including an awning. Those not identified as including an awning cannot erect an awning.
  • Up to two dogs stay free; additional dogs may be accepted by prior agreement.
  • You must set up within your allocated pitch and follow staff directions.
  • Pup tents are not permitted.
  • Check‑in: From 10am. Check‑out: At your leisure.
  • Pitches must be left clean and tidy.

3.3 Caravan Hire (Static & Tourer)

  • Minimum stay: 2 nights.
  • Caravans include kitchen facilities, crockery and cutlery.
  • Bedding is available as an optional extra; guests must bring towels and toiletries.
  • Static caravans use coin‑operated electricity; tourers include unmetered electricity.
  • Chemical toilets in hire tourers must not be used. Please use the toilet blocks.
  • Up to two dogs allowed for a fixed cleaning fee.
  • Check‑in: From 2pm. Check‑out: 10am.
  • Caravans must be left clean; damage or missing items will be charged.

4. Amending Your Booking

  • Optional extras may be added before arrival at additional cost. No amendment fees.
  • Extensions are possible subject to availability; you may be required to move pitch or caravan.
  • Please contact us directly to amend your booking.

5. Pricing & Payment

  • Prices are based on a daily rate for two people and include VAT.
  • Additional guests over the age of 5 are charged per night.
  • Optional extras (awnings, porches, gazebos, bedding, etc.) incur additional fees.
  • Promotions and discounts cannot be combined and may be withdrawn at any time.
  • Payments may be made by cash or card.
  • Bookings via Pitch‑Up follow their payment and deposit rules.

6. Cancellations & Refunds

For direct bookings:

  • Refunds may be adjusted at our discretion in exceptional circumstances.
  • Pitch‑Up deposits are non‑refundable.
  • If the site must close due to unforeseen events, you may choose a refund (direct bookings only) or credit.

7. Site Access & Security

  • Access is controlled by barrier gates. A refundable deposit is required for an access card.
  • Access cards are available from the bar.
  • Access to the toilet block is controlled by Pubrier card scanners.
  • Access to the shower block is open.
  • Lost or damaged cards may incur a charge.

8. Site Rules

  • Behaviour must be respectful and suitable for a family environment.
  • Management may refuse entry or terminate a stay early without refund or notice.
  • No open fires or ground‑level BBQs.
  • Do not damage or attach items to trees, fences or vegetation.
  • Speed limit: 5 mph.
  • No motorised recreational vehicles, including e-bikes and electric scooters.
  • Push bikes are permitted on site but must not be ridden on the patio areas.
  • Children under 16 must be supervised at all times.
  • All rubbish must be disposed of in designated areas.

9. Facilities

9.1 Pub and Restaurant

  • Pub and Restaurant encompass the indoor areas, the outside lower, the upper patio and the swimming pool.
  • Children under 16 must be supervised at all times.
  • No outside food or drink permitted (except baby food), including on the patio area.
  • Business hours of Pub and Restaurant may vary from advertised.

9.2 Showers & Toilets

  • For guest use only.
  • Facilities are cleaned daily; please report issues to a member of staff.
  • Do not flush wipes, nappies or sanitary products.

9.3 Electric Hook‑Up (EHU)

  • Supplied at 230V / 6A (1.38kW).
  • High‑power domestic appliances (such as hairdryers, kettles, heaters and electric cooking appliances) may trip the supply.
  • Guests must ensure cables and appliances are safe and suitable.
  • Staff may disconnect unsafe equipment without notice.

9.4 Chemical Waste

Only chemical toilet waste may be disposed of at the designated point.

9.5 Swimming Pool

  • Open 10am–7pm or dusk (whichever is earlier).
  • Children under 16 must be supervised at all times.
  • Guardians of confident swimmers do not need to be in the water but must be in line of sight of the child at all times.
  • No food or drink in the pool area.
  • A small changing cabin is provided adjacent to the pool to allow guests to change in or out of swim wear.
  • Wet swimwear is not permitted inside the pub.

10. Seasonal Pitches

10.1 Your Responsibilities

  • Secure and insure your caravan.
  • No alterations to the pitch.
  • No flammable or explosive items left inside when unoccupied.
  • Chemical waste must be disposed of correctly.
  • Electricity is charged on regular meter readings and invoiced separately to your seasonal agreement.
  • Awnings must be removed by end of October each year to avoid damage due to winter weather.
  • No business use or anti‑social behaviour.

10.2 Our Responsibilities

  • We will not release your caravan without written permission.
  • We maintain site insurance for third‑party claims.
  • Utilities are charged in accordance with the law.

10.3 Payment & Termination

  • Annual fees due 1 March.
  • Late payments may incur interest and removal from pitch.
  • 60 days’ notice required to terminate.
  • Caravans left after termination may be removed, sold or scrapped after 4 weeks.

11. Rally Bookings

  • All rallies must hold a valid exemption certificate.
  • A designated organiser must make and manage the booking.
  • Optional extras (EHU, awnings, gazebos, etc.) may be added but may incur additional cost.

12. Guest Wi‑Fi

  • Wi‑Fi is provided for general browsing only.
  • Speeds may vary and service is not guaranteed.
  • Illegal or harmful online activity is prohibited.
  • Devices must not interfere with network performance.

13. Liability

  • Rose & Crown (Holbeach) Ltd is not responsible for:
    • Loss or damage to personal property
    • Injury caused by misuse of facilities
    • Weather‑related damage
  • Nothing in these Terms affects your statutory rights.
